The Surgical Scheduler is responsible for scheduling surgical appointments, handling patient phone calls and completing other clerical tasks assigned by the Operations Manager.    


Prolonged sitting, computer work and telephone operations. Occasional lifting up to 20 pounds. Distracting, active office environment.


  1. Schedules surgical and post-op appointments for patients.
  2. Uses manual/computerized system to match physician/clinician’s availability with patient’s preferences in terms of date and time.
  3. Maintains scheduling system for accuracy in analyzing patients/staffing patterns.
  4. Provides daily schedules to physicians/clinicians or medical staff prior to each days visit.
  5. Ensures that updates (e.g., cancellations or additions) are input daily into master schedule.
  6. Communicates as needed with physicians/clinicians and other staff about any patient concerns/issues related to scheduling.      
  7. Communications with outside facilities, hospitals etc.
  8. Follow-up of surgical information sent to the booking facilities.


  1. Minimum of high school degree. Medical education and background preferred.
  2. Minimum one year experience in an appointment scheduling position (preferably medical practice setting).
  3. Knowledge of medical practice protocols related to scheduling appointments using manual/computerized scheduling systems.
  4. Customer service principles and techniques.
  5. Skilled in communicating effectively with physicians/clinicians regarding scheduling preferences and maintaining master schedule.
  6. Must be able to multitask effectively, dealing with phone calls, in-office patients, staff, and others pleasantly. Must communicate calmly and clearly with patients about appointments in all circumstances and to analyze and respond to situations appropriately.
